About the Role

We’re hiring a Personal Assistant & Project Support Coordinator to support two thoughtful, high-capacity individuals in managing their full lives — with a strong focus on family logistics, household operations, life infrastructure, and project setup support.

This role is not about recurring admin tasks or managing full project cycles. It’s about being the person who hears a complex need, figures out the landscape, and proposes a pathway forward — especially across life logistics like healthcare, travel, family coordination, and real estate or property management.

Research is the starting point of almost every project. You'll often be asked to take a broad or unfamiliar goal and investigate what needs to happen — from identifying agencies to contact, to discovering processes, timelines, and viable options.

You’ll help the clients move from “this needs to happen” to “here’s the first step, the options, and the plan.”

Key Responsibilities

  • Independently research unfamiliar topics and clarify the first steps of a process or project
  • Source and organize information to support travel, documentation, healthcare, real estate, and service needs
  • Coordinate personal and family logistics (e.g., insurance renewals, medical tracking, property tax deadlines)
  • Translate vague requests into organized, trackable next steps — including timelines, dependencies, and contact points
  • Communicate regularly and clearly using email, spreadsheets, and collaborative documents
  • Maintain digital organization in Google Suite, Dropbox, Todoist, Notion, and other tools


Ideal Candidate

  • Has 3+ years in roles involving personal or executive assistant support, ideally in unstructured or high-trust environments
  • Strong research instincts — knows how to look for accurate, relevant, and actionable information and organize findings clearly
  • Experience turning messy or unclear projects into actionable plans — even if they don’t execute all of it
  • Emotionally intelligent, grounded, and deeply communicative — keeps stakeholders in the loop whether things are moving or stuck
  • High integrity with a can-do mindset — not afraid to say “I don’t know this yet” but willing to figure it out responsibly
  • Comfortable sourcing information from scratch — e.g., calling agencies, researching complex systems, identifying action steps
  • Self-directed and proactive — sees ambiguity as an opportunity, not a blocker


Skills & Tools

  • Google Suite (Docs, Sheets, Calendar), Dropbox, Todoist, Notion, TripIt, Mailbird (or equivalent)
  • Excellent written communication (email, updates, summaries)

  • Strong discovery and information sourcing skills — not academic, but actionable

This Role Is NOT:

  • A formal project manager overseeing full delivery cycles

About the Role:

At Seso, our Project Managers team ensures a great customer and worker experience throughout the visa processing cycle. They are responsible for achieving and improving Worker-On-Time arrival, and managing customer relationships and expectation handling.

Responsibilities:


Data Entry / Data Gathering

  • Seso uses multiple systems (i.e government websites and proprietary platforms) to enhance our operations; you will be responsible for interacting with and feeding these platforms with manual or semi automatic tools.
  • You will be consolidating data from different sources to effectively push operations forward.


Data Quality Control / Data cleansing

  • You will operate tools that clean data and verify errors, to make sure data is inputted on time, in the right format, and in a complete way. You will manage incomplete data sets and make sure data is collected on time


PM Support

  • Support in tasks related to both preventive and reactive communication with our clients to set expectations
  • Support in tasks related to cross-communication within internal teams
  • Weekly monitoring of project statuses, making emphasis in changes in requirements, lists, timings, and consular availability
  • Assist in the preparation of project presentations and status reports


Continuous Improvement

  • We are always learning and improving. You will contribute by observing, identifying improvement opportunities, and giving feedback to PMs


Skillset

  • 1+ years of experience in data entry, administrative support or similar roles in startups or other fast-paced environments
